friendlyway Integrations: Built to Plug into Your Stack

Whether you need to pull visitor details from your Outlook appointments, trigger a Teams call upon guest arrival, or open a barrier via your access control system, our visitor management integrations make it seamless.

Integration Categories We Support

Identity and User Management (SSO)

Identity and User Management (SSO)

Microsoft Entra ID (Azure AD) • PingID • Okta

Sync users with friendlyway to streamline role and permission management. Use your existing identity provider to enable central user management and single sign-on (SSO).

Calendar and Scheduling

Calendar and Scheduling

Microsoft Outlook • Google Calendar

Create visits and send invites directly from your Outlook or sync appointments with Google Calendar (via CalDAV). Let hosts maintain their normal workflows and manage visitor details without leaving their inbox.

Communication and Notifications

Communication and Notifications

Microsoft Teams

Alert hosts when visitors arrive via Teams chat with customizable multilingual templates. Allow guests to make Teams calls to reception at unmanned entrances or after-hours lobbies.

CRM, ERP, and Business Systems

CRM, ERP, and Business Systems

HubSpot • SAP Extended Warehouse • ServiceNow

Sync visitor lists between HubSpot and friendlyway and track meeting-related activity. Trigger yard management workflows in SAP EWM and provide customer support in the ServiceNow ticketing system.

Access Control and Security Systems

Access Control and Security Systems

FAAC • Magnetic • Bosch • Tattile • Interflex • Sicunet • Salto • Siemens

Integrate with Magnetic/FAAC turnstiles, barriers, and parking gates to automate entry. Connect with Bosch for access control and Tattile for license plate recognition (ANPR). Add security solutions from Interflex/Allegion and Sicunet. Issue digital keys to Salto smart locks and integrate with Siemens fire alarm systems.

Hardware: Scanners, Printers, Turck Scales

Hardware: Scanners, Printers, Turck Scales

Desko • Evolis • DYMO • Pfister Waagen

Verify IDs using Desko passport and ID scanners. Print branded visitor badges and rewritable RFID cards using Evolis or DYMO printers. We also support Pfister Waagen truck scales for automated weight capture during yard/warehouse visits.

Guest Wi-Fi and Network Access

Guest Wi-Fi and Network Access

Cisco ISE • ExtremeCloud IQ • Lancom

Issue time-bound guest Wi-Fi vouchers automatically at check-in. Print codes on badges or send via email. Log voucher issuance and expiry to maintain tight security and compliance.

File Storage and Document Management

File Storage and Document Management

Microsoft OneDrive • Google Drive

Store and retrieve documents and media files for use in digital signage or visitor management (e.g., to upload PDF templates for agreements) in your existing enterprise repositories.

Ready to connect friendlyway with your stack?

Let’s design an integration plan that fits your sites, security model, and visitors — while keeping your operations smooth, secure, and on brand.

Security and Authentication

Access control and permissions
  • Flexible role-based access control (RBAC) model
  • Permissions grouped according to functional areas
  • Roles assigned to users according to their tasks
Authentication protocols (SAML, OIDC, LDAP)
  • Multi-factor authentication for administrative hosts
  • SAML 2.0, OpenID Connect, or LDAP-based IdPs
  • JWT for each active login and expiring tokens at session end
Data protection and encryption
  • Data encryption in transit (TLS 1.2+)
  • PII encryption with managed keys at rest
  • Immutable access logs and audit trails
  • Configurable data retention policies

Visitor reception at corporate HQ: Outlook schedules the meeting; friendlyway pre-registers the guest and sends an email with QR code and parking instructions. On arrival, a badge is printed via Evolis, and the host is notified in Teams.

Contractor access for an industrial site: Contractors complete safety forms on a kiosk. On approval, friendlyway triggers a FAAC turnstile or Magnetic barrier to open and records the event.

Logistics yard and warehouse: A driver’s license plate is recognized by a Tattile camera; the gate opens, and the truck is directed to a Pfister Waagen scale. friendlyway receives their weight, prints a pass, and streams events to the ERP (SAP EWM).

Sales meetings and marketing visits: friendlyway fetches contacts (visitors) from HubSpot and creates an event for them, sending invites to a group of emails. Contacts are matched at check-in, and data on who really attended the event is returned.

FAQ

Can visitor and user data be synchronized automatically with our internal systems?

Absolutely. Use scheduled data imports/exports or real-time updates. One-directional and bidirectional sync keep calendars, contacts, and access rights aligned.

What types of notifications are supported (e.g., email, Teams, Slack)?

We support Teams chats and calls as well as email. Choose per-site defaults and escalation rules (e.g., if a host doesn’t respond in 5 minutes, notify a deputy or reception group).

How can I set up SSO with Entra ID integration?

Start by registering the application on the Entra ID portal and configuring the external identity provider in the friendlyway admin area. Configure claims and map user groups to friendlyway roles. Contact our support team for detailed instructions.

How is data security and access control managed across integrations?

We enforce least-privilege scopes, encrypt data in transit and at rest, and log every access event. Role-based permissions and data retention policies ensure compliance with internal standards and regulations.

Do I need to write custom code, or are integrations available out of the box?

Many integrations — Outlook/Gmail, Teams notifications, Entra ID, kiosk hardware, and badge printers — are available out of the box. For unique workflows, we are happy to add custom logic or connect niche systems (e.g., ANPR, scales, fire alarms).

Can we test integrations before deploying them in production?

Of course. We use our staging environment with test tenants and sandbox credentials. It simulates events (e.g., check-ins, badge printing, barrier opening) and verifies field mappings before going live.

What kind of technical support is included for integration setup and maintenance?

Our team provides guided onboarding, documentation, and best-practice templates. Enterprise plans include solution design workshops, monitoring dashboards, and SLA-based support. We also offer professional services for custom development and white-label projects.
