Challenge
At the CWS Cleanrooms Germany site, the challenge was to ensure the visitor management process becomes more efficient and digital. There was no reception desk to greet guests, and workflows were not digitized, resulting in compliance requirements not being met optimally.
The specific issues included:
- Physical access: The entrance door was permanently locked, and the limited space in the airlock left no room for a reception desk. At the same time, it was necessary to ensure that visitors did not have to wait long and could still be instructed quickly, conveniently, and effectively. It also had to be possible to contact the responsible staff for pickup.
- Compliance requirements: All guests were to be instructed according to cleanroom guidelines before entering the cleanroom area.
- Lack of automation: The visitor management process was not standardized, requiring manual handling.
Solution
CWS Cleanrooms Germany decided to implement the friendlyway Counter 12 tablet with wall mounting and visitor management software to automate the reception process and reliably meet compliance requirements.

- Logging and compliance: All visits are automatically documented to meet security and audit requirements.
- Microsoft Outlook integration: Planned visitors are invited directly from the responsible employee’s Outlook calendar. They receive an email with a QR code for quick on-site check-in, eliminating the need to enter personal data on the tablet.
- Pre-registration: Visitors can also pre-register online, access cleanroom guidelines, and confirm acknowledgement. In this case, no instruction is required at check-in, further shortening the access process.
